REGISTRATION CLOSED: Community Service Opportunity for HCJ members, Family and Friends

Harvard Club of Japan is very pleased to offer our members and your family and friends, in conjunction with the non-profit organization Hands On Tokyo (HOT), an opportunity for an enjoyable and rewarding volunteer experience in Tokyo on Sunday July 28, 2013. Our members will help Roka Senior Home host a Summer Festival for their residents. Volunteers will support their festival by helping residents get around (many are in wheelchairs), helping run booths, dancing with residents in the bon odori, etc. Further details of the activities will be given at a brief orientation at the event site on the day. Please read this entire announcement including a few rules below such as protection of privacy of the Home residents.

Our volunteers will meet for orientation at 12:20pm at the Main Entrance of Roka Senior Home which is located at:

The location is a 10-minute walk from Roka-Koen Station (Keio Line)

Please eat lunch before the event and bring your own refreshments for the day. The event will end at 4:00pm.

Time Schedule:

12:20 PM Orientation and preparation

12:50 PM Summer Festival starts (~3:00 PM)

3:00 PM - 4:00 PM Cleaning up the site

4:00 PM Event ends

 

There is no cost to participate in this volunteer event.

Please wear comfortable casual clothes that are easy to move around in. No high heels. Remove any rings or jewelry with large stones as well as long artificial nails to avoid scratching the residents. Refrain from wearing strong perfumes as the residents are very sensitive to smell.

 

A total of 30 volunteers are needed. Anyone 13 years of age or older may join this event. Please bring your partner, children over 13, your friends and your children’s friends. HOT may invite some volunteers from their general member list if our Club does not provide 30 volunteers, but we truly hope this event can be supported by a group of 30 volunteers recruited through HCJ. If this event is successful we anticipate being able to offer similar opportunities on perhaps a quarterly basis. Also, all volunteers at events organized by Hands On Tokyo are asked to register in HOT’s database which will give you the option of receiving notices of volunteer opportunities open to HOT’s general membership, not just their occasional events associated with Harvard Club of Japan. While Harvard Club of Japan is excited to have our members and fellow alumni from other schools gather together for HCJ/HOT events, we also very much encourage everyone to also make use of HOT’s offerings and to volunteer with HOT directly. Since Harvard Alumni Association and the alumn organizations of all our felow schools strongly encourage alumni to give back to our communities throughout the world, by serving in the Kanto area through HOT you are also serving your school, and that service is appreciated by your school as well as of course by the local community. So everyone wins, has a good time, meets some new friends. Please join in!

All participants are also requested to register at the same time in the HOT volunteer database.  By registering, HOT volunteers will automatically be granted free volunteer insurance at all HOT events.  With this insurance you will be compensated if you get in any trouble during an event. Please note and be sure to observe the following guidelines for this and all volunteer events:

Any information acquired while volunteering must be kept confidential. Personal information of the residents must be protected by all means. (name, address, telephone number, etc.) Refrain from exchanging your personal information (address or telephone number). If you have any need to contact residents after the event, please inform the HOT Volunteer Leader. Taking photographs at the residents is prohibited to protect their privacy.

 

Should any problem arise while you are volunteering, immediately seek assistance from the HOT Volunteer Leader on the site. Please do not try to resolve it yourself.

 

Please keep track of your personal belongings. Roka Senior Home, Hands On Tokyo and Harvard Club of Japan are not responsible for any theft or loss during the event. We thank you for your understanding.

 

If you contract an infectious disease less than two weeks before the event date or you come in close contact with someone with an infectious disease in that time period, please refrain from participating in this event.
